Serving as President of a PTA includes the responsibility to lead that PTA toward specific goals chosen by its members. The goals must be consistent with the policies and purposes of the PTA. The President is the presiding officer and the official representative of the association.

VP Programs

Works with the Principal to plan the year’s school programs such as Imagination Machine, Science-on-the-go, etc. that the teachers have already chosen.

VP Membership

Membership is the heart of PTA. Along with the entire board, the President and the membership chairman are partners in guiding and directing the membership committee in a successful membership campaign.

VP Fundraising

PTA fundraising activities are carried out by a committee whose chairman is an appointed or elected member of the executive board. The major responsibility of the fundraising committee is to raise the amount needed to meet the proposed unit budget.

Treasurer

Keep permanent records that track gross income, receipts and disbursements of the association.Prepare the budget with the budget committee.Pay all bills as authorized by the association.Prepare and present a Treasurer’s Report at every association and executive board meeting.

Financial Secretary

Receive all monies from volunteers counting monies.Deposit funds into bank and submit deposit receipt to Treasurer.

Secretary

Attend all PTA meetings and take minutes.Provide copies of minutes to webmaster for posting.Make copies of minutes for approval at next PTA meeting. Along with President, signs all check requests after approved by association.

Auditor

Conducts a formal examination of the financial books and records of the financial officers of the PTA.Audit serves to certify that receipts and expenditures, as authorized in the minutes, are in conformity with bylaws, standing rules, and budget limitations.

Historian

The historian assembles and preserves the record of activities and achievements of the PTA and assists the President in preparing the Annual Report (Annual Reports, Forms Section).Historian records, like minutes, should be kept forever.

Parliamentarian

Understand and advise association on parliamentary procedure during meetings.Update bylaws when necessary, chair the HSA committee and form the nominating committee.

Birthday book Club

A donation-funded program that purchases new books for the school library in each participating students' names. Responsibilities Draft flyer to announce the opportunity to purchase a book on behalf of your child’s birthday, Collect order forms and money, Compile list of participating students to give to Librarian.Perfect for a working parent who can’t be on campus as much.

Book Fair

Scholastic Book Fair is a special event that enables parents and children to purchase quality books at reasonable prices, the profits help re-stock our school library.We typically host our book fair during the week we have our Fall Social in October and again during Open House in May.

Responsibilities:Scholastic has a local representative and a great “how-to” guide.Choose theme, draft flyers and other publicity for events, decorate/tear-down, schedule parent volunteers, collect and count money

Box Tops

The chairman for this program can promote this as a painless fund raiser.People purchase General Mills products that contain Box Tops, cut off the box tops, and send them to school with their children. Responsibilities:Plan contests, etc. to help collect more box tops, collect the box tops from the classrooms, and submit them to General Mills.

Class Act

The Class Act program is a unique way to bring music into our school through the generous offer of the Pacific Symphony.  Kids learn about music, instruments and musicians throughout the year and are treated to a concert performed by the Pacific Symphony near the end of the school year.  This is a wonderful program for which Crescent Primary has been chosen to participate in by the Pacific Symphony. 

Responsibilities:  Meet with the Class Act coordinator from the Pacific Symphony, host a Class Act Prelude Assembly and Family Night where the musicians come play for our school, decorate for the Bravo Assembly which is an event during the school day where each class puts on a performance representing what they have learned about the current year’s composer.

Directory

The PTA produces and pays for a Student Directory that is distributed to all students at Crescent.

Responsibilities Make and distribute flyer to all students to collect directory information, run a contest for kids to submit a drawing to be used on the cover, collect completed information flyers, sort by grade and teacher, enter directory information into computer worksheet, submit to printing facility. 2008-2009 Directory was online only.

eScrip

Another painless fundraiser.Parents register their Vons club card (and possibly credit cards) and each time those cards are used, a portion of the money spent is donated to our school.

Responsibilities Make and distribute flyers and newsletter articles to promote participation in the program.Monitor monthly income from program.

Health/Safety/Earthquake Kits

Responsibilities:  Work with Principal to plan health-related activities such as a walk-to-school day and Vision and Hearing test.  This is a great position for a parent who can’t spend time on campus.

Earthquake kits

Each student is given the opportunity to purchase an earthquake kit to be kept in the classroom during the school year.

Responsibilities Distribute flyer advertising sale of earthquakes kits, especially to incoming kindergarteners, Collect money and order from distributor, Distribute ALL earthquake kits to classrooms (prior kits and newly purchased kits) in tubs, At end of year, send home flyer reminding parents that earthquake kits will be sent home for the summer and they are to be returned to school at the start of the next school year.Perfect for a working parent who can’t be on campus as much.

Family Nights

Reading night – Cocoa with Santa is an old fashioned “pajama-rama” where the kids (and adults) are invited to wear their pajamas to school, snuggle up with their blanket and listen to an assortment of stories read by the teachers. 

Movie night – an outdoor movie night where you bring your chairs and blankets and enjoy a movie and popcorn under the stars.

Responsibilities:  Plan event, draft flyers, arrange for food/drinks, Schedule parent volunteers.Perfect for a working parent who can’t be on campus as much.

Fun Run

A one-day event where kids run a ¼ mile track at school and collect sponsor’s money from family and friends.  A fun day with lots of activities and a great opportunity to interact with many of the kids at the school.

Responsibilities: Solicit for prize donations, snacks and drinks, Choose a theme, Draft flyers, Schedule parent volunteers for day of event, Organize activities for the day of event, Collect and count money, Select and award prizes.

Hospitality

The hospitality chairman is the official host of the PTA unit and assists in establishing a friendly, comfortable atmosphere at PTA meetings and events.  Hospitality helps to create a sense of belonging that invites members to become involved in PTA activities. 

Responsibilities:  Help greet PTA members at meetings and functions, supply refreshments at various events.

Teacher Appreciation

An annual celebration to shower our teachers with well-deserved thanks.  Parent volunteers supply breakfast each day along with a “treat” in each teacher box.  The week ends with a luncheon and a chance for the teachers to sit together and eat their lunch in a relaxing atmosphere.

Responsibilities:  Organize parent volunteers to supply breakfast and “treats” for each teacher each day of the designated week in April, Plan and organize the luncheon, Decide on theme and decorations, Solicit for food donations from community or from parents, Decide on gift.

Monthly B-Day Parties

Once a month (typically the 3rd Thursday of the month) all children whose birthdays fall in that month are invited to a special party where the PTA provides cupcakes and punch. 

Responsibilities:  Obtain birthday cards, pencils, list of birthdays each month and “invitations” from school secretary, Complete the birthday cards with child’s name and attach pencils, Complete the birthday party invitations for each child and place in the teacher’s boxes the Wednesday before the scheduled party, Arrange for a volunteer to bring the cupcakes and punch to the school.

Red Ribbon Week

Plan activities for Red Ribbon Week with students across America committing themselves to living drug-free lives.

Responsibilities:  Work with Principal to plan activities and communicate those activities with students/parents. 

Reflections

The Reflections Program is an arts recognition and achievement program for students.  The Reflections Program provides opportunities for students to express themselves creatively and to receive positive recognition for original works of art inspired by pre-selected themes, while increasing community awareness on the importance of the arts in education.  The program culminates in a wonderful reception where the children show their works of art.

Responsibilities:  Draft flyers announcing program, complete applications, Solicit for prize donations, Plan Reflections Reception, Schedule parent volunteers for day of event, make participation certificates for all the kids, solicit for judges, submit winner to the district level.

Room Parent Coordinator

The room parent coordinator chairs a committee of representatives from each classroom.

Responsibilities:  Plan an orientation for room parents at the beginning of the school year to provide information such as how many and what type of parties our school allows, classroom responsibilities for the summer bash, classroom responsibilities for teacher appreciation week.

Summer Bash & Basket Raffle

The Summer Bash is an end-of-the-year carnival and basket raffle for students and their families.  We have food booths, game booths, vendor booths and a cake walk.  The kids can earn game tickets during the week preceding the event making for an exciting week and a much anticipated carnival. 

Responsibilities:  plan theme, decorate, organize booths with room parents, solicit food donations, draft flyers, organize parent volunteers, collect and count money.

Volunteer Coordinator

The PTA Volunteer Coordinator publicizes volunteer opportunities and assists the chairmen with their volunteer needs by sending out “wanna pitch in” emails.

Responsibilities: Create a flyer explaining the various PTA programs and requesting volunteers for those programs in need, during the year, assist any chairman who needs volunteers contacted for their function.  Perfect for a working parent who can’t be on campus as much.

Website

Crescent Primary PTA maintains a website as another way to keep the association informed of activities.  

Responsibilities:  Update the website at least monthly with news of upcoming events, excerpts from current school newsletter; maintain an email database of families to communicate when website is updated.

Yearbook

Each year the PTA creates a wonderful yearbook full of pictures and memories for your child. The job involves a lot of creativity; scrapbooking experience would be a plus.

Responsibilities Attend events to take pictures, draft flyers for yearbook sale, collect and count money, do all the page layouts for the book.
